Williams CPA & Associates (“Williams CPA,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, share, and protect personal information when you visit williamscpa.us (the “Website”) or submit an inquiry through it.
This policy covers information collected through the Website only. If you become a client, the information you share in the course of an engagement is also governed by your engagement letter and by the confidentiality rules that apply to CPAs, including the AICPA Code of Professional Conduct, applicable state board of accountancy rules, the Gramm-Leach-Bliley Act, and Internal Revenue Code Section 7216 for tax return information. Where those rules are stricter than this policy, they control.
By using the Website, you agree to the practices described in this policy.
2. Information We Collect
Information you give us. When you complete the “Apply for a Strategy Conversation” form, we collect:
- Your name, email address, and phone number
- Your business or organization name and website URL
- Your business’s annual revenue range
- Your answers about your biggest financial challenge and what prompted you to reach out
We may also collect information you send us by email, phone, or during a strategy call. Please do not submit Social Security numbers, tax returns, bank account numbers, or other sensitive financial records through the Website form.
Information collected automatically. When you visit the Website, our web hosting servers may automatically log technical information, such as your IP address, browser type, device type, operating system, referring page, pages viewed, and the date and time of your visit.
3. How We Use Your Information
We use the information we collect to:
- Review your inquiry and decide whether our services are a good fit
- Contact you to schedule a strategy conversation and respond to your questions
- Provide, manage, and improve our services if you become a client
- Operate, maintain, secure, and improve the Website
- Understand how visitors use the Website
- Comply with legal, regulatory, and professional obligations
- Protect our rights and prevent fraud or misuse
We may send you occasional communications related to your inquiry or our services. You can opt out of non-essential communications at any time (see Section 7).
4. How We Share Your Information
We do not sell or rent your personal information, and we do not share it for cross-context behavioral advertising. We share information only as described below:
- Service providers. Companies that help us run the Website and our business, such as web hosting, website design and management (Brainstorm Marketing), form processing (WPForms), email, scheduling, and IT support. They may use your information only to perform services for us.
- Professional advisors. Attorneys, insurers, auditors, or peer reviewers, where needed and subject to confidentiality obligations.
- Legal requirements. When required by law, subpoena, court order, or a state board of accountancy, or to protect the rights, property, or safety of Williams CPA, our clients, or others.
- Business transfers. In connection with a merger, sale, or transfer of all or part of our practice, subject to applicable professional rules.
- With your consent. For any other purpose you approve.
5. Cookies and Tracking
The Website does not use cookies, analytics, or advertising trackers. We do not track you across other websites.
The Website loads fonts from Google Fonts, which means your browser connects to Google’s servers and shares your IP address with Google when a page loads. Google’s handling of that data is described in the Google Privacy Policy.
6. Data Retention, Security, and Other Terms
Retention. We keep inquiry information for as long as needed to respond to you and evaluate a potential engagement, generally no longer than [24 months] if you do not become a client. Client information is kept for the periods required by law, professional standards, and our engagement terms.
Security. We use reasonable administrative, technical, and physical safeguards to protect your information, including encrypted (HTTPS) connections to the Website. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Children’s privacy. The Website is intended for business owners and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has sent us information, contact us and we will delete it.
Third-party links. The Website may link to other sites, such as our web designer’s site. We are not responsible for the privacy practices of those sites.
Location of processing. We are based in the United States, and information collected through the Website is stored and processed in the United States.
7. Your Rights and Choices
You may contact us at any time to:
- Ask what personal information we hold about you
- Correct information that is inaccurate or incomplete
- Delete your information, unless we must keep it for legal or professional reasons
- Opt out of emails or other communications from us
Depending on where you live, state privacy laws may give you additional rights, such as the right to receive a copy of your information or to appeal our decision on a request. We honor these requests where the law applies to us, and we will not discriminate against you for making one.
